I use the fax machine and copier wisely

Green Office Guide

When I send faxes…

  1. I always ask myself if a cover sheet is necessary.

  2. I stick a Post-It note on one corner of the fax sheet with all the relevant information (e.g., recipient's name). This eliminates the need for a cover sheet and also reduces the transmission time.

  3. I use the blank sides of used sheets of paper as cover sheets.

  4. I use one half of the cover sheet for contact information and the other for a brief message.

  5. I program the fax machine to print a confirmation sheet once a day (some fax machines will print an individual confirmation when necessary) whenever I can.

  6. I use the fax mailing function in Lotus Notes to send documents whenever I can.

When I make photocopies…

  1. I use the Reduce function when necessary to get as much text on a page as possible.

  2. I use the double-sided copying option whenever I can.

  3. I take advantage of any training offered to better understand the copier's various functions.
